The appointments calendar is specifically for external meetings like service tour bookings, orientation bookings, or parent meetings. It is a service-wide calendar that can be viewed by all Vacancy.care users.  

When organising service tours, meetings or orientation appointments for your service, families accessing the appointments calendar need guidelines to book within specific days and times that work best for the service. This is set-up within availability settings.

Setting availability 

Set availability periods to avoid peak times - like the morning sign-in rush, or times that aren't convenient - like rest time. Select times when appropriate staff numbers will be present to assist, either with the tour/meeting itself, or ensuring the educators for each room always stay within ratio.

Start at the Vacancy.care Dashboard - Main Menu (three horizontal lines in the top left corner).
select Appointments calendar > Availability settings. Complete the days and times that work best for your service and save.
